Most cleaning contracts ask you to take service delivery on trust. We built our own operations platform so you never have to: every visit, every defect and every hour is recorded as it happens, and you can see it without asking us for a report.
S/01The problem
Most cleaning contracts run on trust and a paper signing-in book. The book lives in the building, it is filled in by the person whose work it records, and nobody reads it until something has already gone wrong. When a client asks “was the office cleaned on Tuesday?”, the honest answer from most contractors is that they will ask the supervisor and come back to you.
We took the opposite approach and built our own operations platform. Every clean we carry out, workplace or short-let, exists in it as a job: a date, a property, an assigned crew, and an evidence trail created while the work happens rather than written up afterwards. This page sets out exactly what gets recorded, because “we have an app” is not a differentiator and the details are.
Nothing here is a claim about a certification, an award or an industry ranking. It is a description of how our own system works, and you are welcome to ask for a walkthrough and watch it on a real job before you sign anything.
S/02The evidence
A job cannot be worked from the van. The operative checks in on arrival and that check-in is stamped with the device location and the time. It produces the single fact most cleaning contracts cannot produce on demand: somebody was physically at this address, at this time, on this date. Everything else on the job hangs off it.
Evidence is captured with the camera built into our own app rather than filmed elsewhere and uploaded later, so it belongs to the job it is attached to and cannot be a clip from last week. Video is recorded before the work starts as well as after it finishes, which is what makes it useful: an “after” shot on its own proves a room is clean, while a before-and-after pair proves the crew cleaned it. On short-let turnovers this happens on every single changeover. On workplace contracts the default evidence set is the signed visit log, the room-by-room checklist and a sign-out photo of the washrooms and kitchen where you ask for it, with video used for defects and for any areas you nominate.
All of our evidence video is silent. No audio track is captured at all, anywhere, and that is a deliberate design decision rather than an oversight. Our crews work in occupied offices and around guests’ belongings, and an evidence system has no business recording conversations.
When the operative signs out, the departure time is recorded against the work order. You can therefore see that the crew were on site for the hours you are invoiced for, and you can see it the moment they leave rather than in a report at the end of the month. The room-by-room checklist is confirmed on site before sign-out, so nothing gets marked as done from the car park.
Our crews are in your building more often than almost anyone else, so they see things first: a dripping urinal, a failed light, a radiator weeping onto carpet, a door closer that has given up. Any fault is raised as a maintenance issue with photo or video evidence attached and routed to your facilities contact before the crew leave site. To be clear about the boundary: we report faults, we do not carry out the repairs, and we never quietly clean over damage that ought to be fixed.
Clients get a login, not a monthly PDF. In the portal you can see the jobs scheduled at your property, approve, move or cancel an upcoming visit, open the evidence attached to any completed visit, read and add notes for the crew, and export the visit history into your own compliance records without asking us for anything. Live chat runs straight from the portal to the supervisors who actually run your sites, rather than to a shared inbox.
S/03The boundaries
An evidence system is defined as much by what it refuses to do as by what it records.
Three practical things follow. First, invoices stop being a matter of opinion: hours on site are recorded, so an invoice query takes a minute instead of a fortnight. Second, standards do not drift, because a room-by-room checklist ticked on site is far harder to skip than a signature in a book, and because a supervisor can see a pattern forming before you have to complain about it. Third, your own compliance work gets easier — if you need to show a landlord, an auditor or an insurer that washrooms were serviced on a given date, the record already exists, with a time stamp, and you can export it yourself.
There is a fourth benefit that only shows up when something goes wrong, which in an operation of this size occasionally does. Because we are both looking at the same evidence, the conversation is short: we agree what happened, we fix it, and we put something in place so it does not happen again. No argument about whether the crew were there.

No. Every video our crews record is silent, with no audio track captured at all. Our operatives work in occupied offices and in guests’ homes, and an evidence system has no business recording conversations.
No. Location is recorded at the moment an operative checks in at a property, attached to that job, in order to prove attendance. There is no continuous tracking and no live map of individual staff. That is a deliberate boundary, not a technical limitation.
You see it yourself. Clients get a portal login showing the jobs at their property, the evidence attached to each completed visit, notes to and from the crew, and an exportable visit history. Nothing has to be requested from us.
The signed visit log is available the moment the operative signs out. Photo and video evidence uploads from the device and appears against the job, which on a normal connection is a matter of minutes.
No, the platform is our own, built for this operation. That is why the evidence trail matches how cleaning actually works rather than how a generic field-service tool assumes it works, and it is why we can build something sensible when a client asks for it.
